New Tools To Meet Deadlines & Conquer Complex Conferences - March 2023 | Product Update

This month we are pleased to introduce some helpful tools to keep your team and your constituents on time and on target, along with more robust form options for those more complicated conference setups.

The update includes:

• New Automated Email Settings (weekly digests for speakers and task reminders for evaluators)
• Automated Reminders (weekly digest emails for speakers and task reminders for evaluators)
• Bulk Email Updates (easily control which speaker or constituent receives which email when sending in bulk)

✔ New Automated Reminders

Keeping your speakers, sponsors, and exhibitors on task and on deadline can be a huge issue for conference organizers. So we decided that we wanted to make that process as simple and straight forward as possible.

Conference admins now have the ability to send weekly digest emails. When enabled, portal users will get a weekly email when they have tasks assigned to their portal. This email will summarize due dates, completed tasks, pending tasks, and provide a login link to quickly access the portal. Also, they can enable email notifications so that speakers and group primary contacts will receive an email when new tasks are assigned to their portals.

✔ Bulk Email Updates For Select Individual Speakers

You can now send personalized emails in bulk to specific groups of speakers. Filter by track, topic, approval status, etc...

• After selecting sessions to send emails, you can now choose which speakers associated with those sessions will receive your email update.
• If contacts have more than one session, you can now preview all their emails in the same window.

✔ Multiple Submission Forms

Submission forms are an incredibly useful tool for organizers as they build our their show. There are tons of uses for them, and often times you need more than one submission form when working with more complex workflows.

Conference administrators can now customize the questions and instructions for different kinds of applicants, e.g. lightning talks forms vs. a form for your roundtables.

Create up to 20 session submission forms that can be can be graded in evaluation plans, displayed in portals, and edited by admin users.

‍✔Other Notable Updates

Session submission form

The textbox on the form now supports HTML formatting (bold, italics, bullet points, etc.). This lets your speakers better format their session descriptions.

Evaluator Reminder Emails

Evaluators who have not finished grading their assigned sessions will receive reminder emails to log into and finish grading 7 days and 1 day before the evaluation plan closes. This will ensure that your evaluators are always able to meet their abstract grading deadlines.
